Privacy Policy

This policy explains what personal information QLD Immigration collects, why we collect it, who it may be shared with, and how you can access or correct it. Because immigration work involves sensitive personal details, we take confidentiality seriously.

Last updated: 20 October 2026

We are committed to safeguarding your privacy and making sure the personal information you give us, or that we obtain about you, is kept secure and handled in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).

This policy applies to personal information collected by QLD Immigration and Queensland Immigration Solutions (ABN 75 484 133 512), the owner of this website (the “Site”), based in Mackay, Queensland (“we”, “us”, “our”). Our Registered Migration Agent is registered with the Office of the Migration Agents Registration Authority (OMARA) under MARN 1174394, and you can verify this on the OMARA register.

We may update this policy from time to time by publishing changes on this page. Please check it occasionally. If you do not agree with this policy, please do not give us your personal information.

1. About this privacy policy

“Personal information” means information or an opinion about an identified individual, or an individual who is reasonably identifiable, whether or not it is true and whether or not it is recorded in a material form.

This policy explains:

  • the types of personal information we may collect about you;
  • how we handle it;
  • your rights to access and correct it; and
  • how you can complain about our handling of it.

Immigration work involves sensitive information such as identity documents, family details, health and character information. We handle it with extra care, and as a Registered Migration Agent we are also bound by the Migration Agents Code of Conduct, which requires us to keep client information confidential and use it only for your matter unless you agree otherwise or the law requires or permits disclosure. If you would like more detail about how we manage sensitive information, please contact us.

2. Collection

We may collect personal information from you or about you when you visit or use the Site, contact us, or engage us for migration services. This can include your name, date of birth, email address, phone number, address, nationality, passport and visa details, family and relationship details, employment, qualifications, and health and character information relevant to your matter.

We collect personal information directly from you, for example when you:

  • send us an enquiry through the Site contact form, by email or by phone;
  • book or attend a consultation, or pay a fee;
  • send us documents or complete forms for your matter; or
  • use or interact with the Site.

With your authority, we may also collect information from third parties such as the Department of Home Affairs, tribunals, skills assessing authorities and other people acting for you.

If you give us information about another person, such as a partner, parent or child, please make sure they know you are doing so and agree to it.

Where we ask for your consent, for example by a tick box or sign-up form, giving us your information means you consent to its collection, use, disclosure and storage as set out in this policy, or as otherwise permitted by law.

3. Purpose

We collect and use personal information so that we can:

  • give you migration advice and assistance, and prepare and lodge applications on your behalf;
  • communicate with you, and with the Department of Home Affairs and other bodies on your behalf;
  • manage bookings, fees, invoices and payments;
  • respond to your requests, enquiries and complaints;
  • send you service, administrative and security notices;
  • operate, secure and improve the Site;
  • comply with Australian law, tribunal or court orders, and our professional obligations, including record-keeping under the Migration Agents Code of Conduct; and
  • establish, exercise or defend a legal claim.

4. Disclosure

We share personal information only where it is needed to do the work you have asked us to do, or where the law requires or allows it. Depending on your matter, this may include:

  • the Department of Home Affairs, the Administrative Review Tribunal and other government bodies;
  • skills assessing authorities, registration bodies and other organisations involved in your application;
  • translators, interpreters and health or police-check providers, where you ask us to arrange them;
  • your sponsor, partner or other family members who are part of the same application;
  • service providers who help us run the practice, such as website hosting (Dream IT), our website contact form (Formlayer), email, document storage, and booking and payment services;
  • our professional indemnity insurer and professional advisers, where needed;
  • OMARA or other regulators, courts or law enforcement, where required or authorised by law; and
  • another person where we reasonably believe it is necessary to lessen a serious risk to someone’s life, health or safety.

We do not sell your personal information, and we do not send marketing emails.

5. Third party websites and cookies

The Site may link to other websites, such as OMARA and the Department of Home Affairs. We do not control those sites and are not responsible for their content or privacy practices. Please read their privacy policies before giving them your information.

The Site loads fonts from Google Fonts, so Google may receive your IP address when you visit. We do not use analytics tools on the Site. A cookie does not identify you personally, but it does identify your device. You can set your browser to accept or reject cookies.

The contact form on the Site is for general questions only and does not create a client engagement. Email is not a fully secure way to send information, so please avoid emailing sensitive documents, such as passport scans, until we have agreed a secure way to share them.

6. Access and correction

You can ask to see the personal information we hold about you, or ask us to correct it if it is inaccurate or out of date. Contact us using the details below. We will confirm your identity and respond within 30 days. We may be unable to give access in some cases, for example where the law prevents it or where it would affect another person’s privacy, and if so we will explain why.

7. Storage, hosting and transfer

We store personal information in electronic or hard copy form and take reasonable steps to protect it from misuse, interference, loss and unauthorised access. No system is completely secure, and we cannot guarantee the security of information sent over the internet.

We keep client records for as long as required by the Migration Agents Code of Conduct and other laws, which is currently 7 years after your matter ends. When we no longer need information, we securely destroy it or remove anything that identifies you.

Many of our clients are overseas, so your information may be accessed from or stored in other countries. Some of our service providers may also store information on servers outside Australia. Where we send information overseas, we take reasonable steps to make sure it is handled securely. You can contact us to find out which countries are involved.

8. Complaints

If you have a concern about how we have handled your personal information, please contact us first so we can try to fix it. If we refuse a request you make about your information, we will write to you with our reasons. If you are still not satisfied, you can complain to the Office of the Australian Information Commissioner (OAIC). You can also raise a complaint about a Registered Migration Agent with OMARA.
